Welcome, VOLUNTEERS Roles and Responsibilities First, THANK YOU for volunteering for this worthwhile community event. • Please arrive at the venue on the day of the event by 8:00 am to help with set up. • If you are not available this day, please contact the Volunteer Coordinator. • Be sure to identify yourself as a volunteer and offer assistance to event attendees and vendors. All volunteers will wear unique clothing or badges. • Review and become familiar with the venue, including the floor plan of the event and where vendors are located. • Know where bathrooms and emergency services (such as first aid) are located. • Report issues immediately to the Volunteer Coordinator. For example, if a child is lost or a vendor needs additional support. • Be sure you are aware of the activities throughout the venue and specifically for your designated area. • Assist with the traffic flow of participants at the event to avoid bottlenecks and long waiting periods for the activities. • Provide the Planning Committee feedback about their experience after the event, via short web survey.
Volunteers are needed for the following activities: NOTE: Volunteers may perform more than one activity depending on scheduling. If you are a volunteer with a special knowledge about any activity listed, please let us know.

Registration

Set Up Time 10 to 15 minutes

Number of Volunteers 6

 

Description: You will be the first point of contact for the families for this event and will provide any information about the event, including the location of vendors and activities. You will also provide children with swim bands and provided any additional information about the event in the form of fliers or pamphlets. Registration will be at both the parking lot entrance (out side the West Entrance) and the street entrance, where the vendors are located (inside the East Entrance).

 

Duties:

• Greet attendees

• Answer questions

• Keep people moving toward activities (traffic flow)

• Provide swim bands

• Provide raffle tickets (which will be used as a count for the number of attendees)

• Make sure people understand what the event is about

 

Provided Supplies:

• Wristbands

• Raffle tickets

• Tote bags

• Information cards and pamphlets

 

 

Vendor Support

Set Up Time 5 to 10 minutes, depending on vendor

Number of Volunteers 15 to 18

 

Description: Vendor support volunteers will assist vendors with their set up for the outside vendor areas, designated as The Plaza. Some vendors may need help getting supplies from their vehicles to the vendor area. Also, as the day progresses, vendors may need help with other matters.

 

Duties:

• Provide support as needed to your assigned vendor

 

Provided Supplies:

• Duct tape

• Scissors

• Binder clips

 

 

 

Decorate - A - Cookie

Set Up Time: 5 to 10 minutes

Number of Volunteers: 2 to 3

 

Description: Children receive a cookie and are provided the supplies to decorate the cookie any way they want.

 

Duties:

• Give each child a cookie

• Supervise children during the decorating process

• Clean up after a child has finish decorating

• Prep the area for the next child

• Make sure supplies are refreshed and available

 

Provided Supplies:

• Cookies

• Frosting

• Food Coloring

• Sprinkles

• Plastic Spoons

• Clorox Wipes

• Napkins/Wet naps

 

 

 

Face Painting

Set Up Time: 10 minutes

Number of Volunteers:  2 Assistants

 

Description: Children will pick out a design and let painter know which one they want and where (face, arm or hand). The Assistant will support the face painters and will organize and direct children that are waiting in line.

 

Duties:

Assistant-

• Supervise the children in line

• Answer questions

• Paper towels

• Board with design examples

 

 

 

Temporary Tattoo Parlor

Set Up Time: 5 to 10 minutes

Number of Volunteers:  2 or more Appliers, 1 Assistant

 

Description: Children will pick out a design and let applier know which one they want and where (face, arm or hand.

 

Duties:

 

Applier-

• Apply temporary tattoo

• Smile

 

Assistant-

• Supervise the children in line

• Answer questions

 

Provided Supplies:

• Temporary Tattoos

• Paper towels

• Water

• Board with design examples

 

 

 

Art Workshop

Set Up Time: 10 to 15 minutes

Number of Volunteers:  3

 

Description: Children can choose to color, make a card or make some other meaningful art project. There will be a table for each.

 

Duties:

• Supervise children

• Help if children need or ask for it

• Make sure supplies are refreshed and available

 

Provided Supplies:

• Markers

• Glitter glue

• Foam stickers

• Bows

• Buttons

• Pompoms

• Gems

• Googly eyes

• Construction paper

• Paper towels

• Crayons

• Markers

• Coloring sheets

 

 

 

Photo Booth

Set Up Time: 10 to 15 minutes

Number of Volunteers:  3 to 4

 

Description: Children/families can have a photo taken together. They will be given 2 copies.

 

Duties:

• Supervise children/families

• Take pictures

• Print pictures

• Make sure supplies are refreshed and available

• Clean and prep area after each family

 

Provided Supplies:

• Photo printer

• Computer/laptop

• Backdrop

• Hats/glasses/masks/other props

 

 

 

Bean Bag Toss (Carnival Game)

Set Up Time: 5 minutes

Number of Volunteers:  2

 

Description: Children will have 3 been bags and will try to toss them into different targets.  Kids will get tickets depending on what target and how many targets they toss a bean bag into. Children will still receive 1 ticket for trying if they do not make it into any holes.

 

Duties:

• Prep area after each child by collecting bean bags that have been thrown and give them to the next child in line.

• Count and provide the amount of tickets won

• Target

• Bean bags

Fishing Pond (Carnival Game)

Set Up Time: 10 to 15 minutes

Number of Volunteers:  2 or more Applier, 2 Assistants

 

Description: Children will have an opportunity to throw a fishing line into the pond and receive a sea life sticker with a number on the back. The number (1-3) will represent how many tickets they will receive. The child will also be able to keep the sticker.

 

Duties:

 

Applier (in “the pond”):

• Apply a sticker in the pole and tug

 

Assistant:

• Explain the game to the children

• Give the child a pole and help guide it into “the pond”

• Remove sticker from pole and provide the amount of tickets won

 

Provided Supplies:

• Sheet or tarp

• Fish decorations

• Long stick

• String

• Clothes pins

• Stickers

• Tickets

 

 

 

Lucky Duck (Carnival Game)

Set Up Time: 5 minutes

Number of Volunteers:  2

 

Description: Children will pick one duck and the amount of tickets they win is displayed on the bottom, they will need to then match it with another duck with the same number to receive the tickets. Children will still receive 1 ticket for trying if they do not make a match.

 

Duties:

• Watch child pick duck and provide the amount of tickets won.

• Mix the ducks after every pick

 

Provided Supplies:

• Small swimming pool

• Water

• Floating ducks

• Tickets

 

 

 

Ring Toss (Carnival Game)

Set Up Time: 5 minutes

Number of Volunteers:  2

 

Description: Children will have 3 rings and will try to toss them onto different pegs.  Kids will get tickets depending on what peg and how many pegs they toss the ring onto. Children will still receive 1 ticket for trying if they do not make it onto any pegs.

 

Duties:

• Prep area after each child by collecting rings that have been thrown and give them to the next child in line.

• Count and provide the amount of tickets won

 

Provided Supplies:

• Board with pegs

• Plastic rings

• Tickets

 

 

 

Prize Room

Set Up Time: 15 to 20 minutes

Number of Volunteers:  3

 

Description: This room is where children can redeem tickets received from the carnival games for prizes

 

Duties:

• Count tickets

• Get prize item for children

 

Provided Supplies:

• Small baskets for prizes

• Shelving for prizes

• Prizes

 

 

 

Book Room

Set Up Time: 30 to 40 minutes

Number of Volunteers:  5 to 6

 

Description: Hundreds of books will be available for children to take for their summer reading. These books will need to be merchandised and grouped together in a logical order, for example by age group to topic area.

 

Duties:

• Assist children with selecting books

• Keep books and room in order

 

Provided Supplies:

• Books

• Tote bags

 

 

 

Decorations and Set Up

Set Up Time: 60 to 90 minutes

Number of Volunteers:  10 to 12

 

Description: We will need several volunteers to decorate and set up the space for the event to make the space look festive and provide a welcoming and easy to navigate atmosphere.

 

Duties:

• Place decorations and signs throughout the event space

• Position tables, chairs, and other equipment as needed

• Make sure the event space if safe from items that may cause accidents or may be a problem for small children

 

Provided Supplies:

• Tape

• Streamers

• Event signage

• Ladders

• Latex balloons

 

 

 

Clean Up

Set Up Time: 20 to 30 minutes

Number of Volunteers:  10 to 12

 

Description: At the end of the event, the space needs to be returned to its original state, therefore, the clean up crew is responsible for restoring the integrity of the event space and making sure all areas are clean.

 

Duties:

• Clean spaces as needed, both inside and outside

• Return tables, chairs, and other equipment to their designated location

• Be sure that all trash and other debris are properly disposed

• Collect all signage and remove decorations

 

Provided Supplies:

• Gloves

• Trash bags

• Mops and cleaning rags

• Paper towels

• Liquid cleaners

 

 

 

 

Raffle Barker / Announcer

Set Up Time: 5 to 10 minutes

Number of Volunteers:  2 to 3

 

Description: Several items will be raffled for this event that are separate from the prizes that are offered and are geared toward adults and promote family activities.

 

Duties:

• Announce raffle drawing as per schedule

• Draw and announce raffle numbers

• Check that the drawn number matches with the recipient's number

• Hand over / give raffle item to winner

• Keep track of prizes

 

Provided Supplies:

• Microphone / public announcement (PA) system

• Container with eligible raffle tickets

• Prizes

 

 

 

Kitchen Helper

Set Up Time: 5 to 10 minutes

Number of Volunteers:  2 to 3

 

Description: The kitchen need to be set up to receive and serve food during lunch. Also, items will need to be stored and kept at the appropriate temperature, and supplies will need to be monitored.

 

Duties:

• Maintain a clean and tidy kitchen environment

• Provide support to those delivering food for the event

• Help with setting up room for sit-down eating

• Help maintain the flow of people so that they can receive their food efficiently

• Maintain and refresh water and other beverage containers as needed

 

Provided Supplies:

• Gloves

• Hair nets

• Paper towels

• Hand sanitizers

• Paper plates

• Cups

• Serving and eating utensils

• Take-away boxes

• Napkins

 

 

 

Green Room Attendant

Set Up Time: 5 to 10 minutes

Number of Volunteers:  2 to 3

 

Description: Over the course of the event, a green room is available for volunteers to securely store their personal items and to take a break. Also, the space will have snacks and beverages for the volunteers. The green room attendant will also be responsible for first-aid supplies.

 

Duties:

• Look after volunteer belongings

• Be sure that the room is only available to event volunteers

• If necessary, alert security of any problems

 

Provided Supplies:

• Volunteer sign-in sheet

• Pens, markers (for white board to leave messages)

• Snacks, beverages, napkins

• Coat racks

• Tables

• Chairs

• First-aid kit

 

 

 

Security

Set Up Time: 5 to 10 minutes

Number of Volunteers:  4 to 5

 

Description: These volunteer are tasked with making sure the event maintains a fun and family friendly atmosphere, and should be able to restore this atmosphere, if necessary, in a courteous, friendly, and professional manner.

 

Duties:

• Oversee the event for any security or safety issues

• Resolve security and safety issues as needed

• Work as a team with other security

 

Provided Supplies:

• Walkie-talkie

• Note pad and pen
